Rules & Regulations
Occupants of all spaces and all guests are subject to the following rules and regulations.
- Alcohol Policy
No alcoholic beverages are allowed on Cabela’s property. Sale of alcoholic beverages is strictly prohibited. Security will be monitoring the show grounds and any one observed consuming alcoholic beverages will be warned once. Continued infractions will be cause for expulsion from the show ground site. No refunds will be issued. NO EXCEPTIONS!
- Check-in and Registration

Check-in will begin at 9:00 a.m. on Saturday, June 21 or Sunday, June 22 at the GLRFG registration headquarters. No set-up will be allowed until check-in and you have received your official GLRFG vendor display card. No on-site registrations will be accepted. All vendors MUST have pre-registered by the June 1, 2008 deadline. NO EXCEPTIONS!
- Compliance of Rules and Regulations
Failure to comply with any of the rules and regulations may result in expulsion from the Great Lakes Regional Firebird Gathering show grounds, the loss of registration fee, and in the loss of the opportunity to register for future shows.
- Concession Restrictions – Food, Services, Licensing, etc.
Great Lakes Regional Firebird Gathering reserves the rights for all food, drink, videos, show photographic souvenirs, GLRFG sportswear and any souvenir displaying the Great Lakes Regional Firebird Gathering name or that implies connection to the GLRFG event. Any use of the Cabela’s logo and other identifying information is copyrighted and vendors must obtain permission from Cabela’s corporate offices before using their identity material. The same applies to any use of sponsor logos and identity material of the GLRFG. If you have any questions, please contact us.
- Credentials Misuse
Misuse of any show credentials may result in ejection from show grounds.
- Damage, Loss by Fire, Theft or Other Cause
The Great Lakes Regional Firebird Gathering and Cabela’s assumes no responsibility for any damage or loss by fire, theft or any other cause whatsoever. Vendors, their staff, and spectators use the facilities at their own risk and agree to indemnify and save harmless the Great Lakes Regional Firebird Gathering and Cabela’s, its agents and employees from any loss or liability including but not limited to costs of defense, arising from participation at events conducted by the Great Lakes Regional Firebird Gathering and/or held on the Cabela’s store property. Vendors will indemnify and save harmless the Great Lakes Regional Firebird Gathering and Cabela’s for any such loss or liability arising from conduct of any vendor toward another vendor or the public.
- Disabled Guests
Disabled guests are welcome to enter with their own wheelchairs and three- or four-wheeled electric convenience vehicles (ECV). Operators of ECVs are required to possess appropriate credentials while on grounds. Exceptions to this policy will be considered on a case-by-case basis for disabled persons unable to operate an ECV who have their own properly insured golf cart and who make arrangements in advance of arrival.
- Enforcement of Rules and Regulations
The security force hired by the Great Lakes Regional Firebird Gathering has the right to take into custody and detain individuals believed to have violated any laws of the State of Michigan and the city of Dundee. After reasonable investigation, such person may be released or turned over to police authorities for further investigation and possible prosecution.
- Fire Extinguishers
A certified and working fire extinguisher must be kept on assigned site if vendor is using a generator.
- Generators
Generators must be safely operated during the posted hours of the show. The use of generators at any other times is strictly forbidden. Generators causing excessive noise or fumes are strictly prohibited. Generators that vent exhaust fumes directly into adjoining vendor spaces are strictly prohibited. Generators should be vented above vehicles and crowd.
- Merchandise Restrictions
All merchandise sold during the Great Lakes Regional Firebird Gathering must be automotive related. Any merchandise that corresponds with items sold at Cabela’s is a conflict with our host venue and will not be allowed. GLRFG reserves the right to reject a registration if merchandise does not fit within the scope of our event. If you have any questions regarding possible conflict of your merchandise, please contact us.
- Pets
Pets are strongly discouraged for health and safety reasons. If you cannot make other arrangements for boarding, you may want to check with Cabela’s to obtain information on their dog kennel facilities. Otherwise, your pet must be on a leash and policing after them is required. Your pet must be under your control at all times and you are fully responsible for its actions. Any offensive or unsafe actions by your pet may result in expulsion from the show site without refund.
- Registration Deadline

All vendors MUST BE PRE-REGISTERED! There will be no on-site registration during the weekend of the show. All registrations must be postmarked by June 1, 2008 to be eligible to participate in the Great Lakes Regional Firebird Gathering show. Registration fee is $25 for EACH (approx 10x20 they’re actually a bit larger) space per day OR $35 for each space for both Saturday and Sunday. All vendors MUST participate for the entire weekend of the show. NO EXCEPTIONS!
- Set-up and Tear-down

Set-up will begin at 9:00 a.m. on Saturday, June 21 or Sunday, June 22. You MUST check-in first and receive your official GLRFG vendor display card. Set-up in your assigned site only.
In accordance with our agreement with Cabela’s, NO vehicles will be allowed to park on assigned site. Vehicles will be allowed for drop-off of tents, trailers, and merchandise only. There will be NO sales permitted from vehicles. All displays must be within the assigned spot and under at least a 10x10 tent (for example an EZ-UP) or trailer. All merchandise must be displayed on tables or within the area of coverage. Any merchandise sitting on the asphalted surface must be placed on plastic sheeting, cardboard, or wood. Please do NOT place merchandise on bare asphalt.
Tear-down: vendors are required to stay until 5:00 p.m. on Saturday, June 21 or until 3:00 p.m. Sunday, June 21. Packing of displays and merchandise may begin at 1:00 p.m. Tear-down must be concluded by 5:00 p.m. on Sunday, June 21 following the event. No equipment of any kind may be stored on site after the event.
- Smoking
All cigarette butts must be placed in an appropriate container. Please do not leave cigarette butts lying around your site. A fee will be charged for any cleaning of your site area if GLRFG inspects, finds, and cleans up. Even if spectators or customers are smoking in your site area, it is your responsibility to see to it that cigarette butts are disposed of properly.
If you are running a generator, then NO-SMOKING will be allowed by either vendor, spectators or customers and a NO-SMOKING sign must be posted! This rule will be enforced by security and if you’re found smoking around an operating generator, you will be asked to turn off the generator. Continued infractions of this rule will be cause for expulsion from the show site. Safety is a must and there will be no exceptions!
- Space Usage Restrictions
Vendor spaces shall be used for sale of parts, cars, accessories, etc., only and may not be used as camping or parking spaces. All merchandise, trailers and tents shall be contained within assigned space and vendors may not engage in any sales or business activities outside the assigned space without the written consent of an authorized agent of the Great Lakes Regional Firebird Gathering.
- Transportation – On Grounds
Vendors will be allowed to use bicycles, two-wheeled scooters, golf carts, ATVs, motorcycles, mini-bikes or other forms of personal transportation in the vendor area ONLY during set-up and to retrieve additional merchandise during the weekend of the show. Please do NOT takes these vehicles into the show/display area. Operation of such vehicles by unlicensed drivers is prohibited at any time. Verification of insurance is required. Failure to comply with these guidelines may result in expulsion from the premises or the forfeiture of vendor space.
- Trash Removal
Vendors will be charged for removal of excessive trash that is not disposed of properly. Trash containers will be located throughout the vendor/show area or contact GLRFG at registration headquarters for any special needs. It is mandatory that all cardboard boxes be broken down and stacked. If you notice a trash container overflowing, please alert GLRFG at the registration headquarters.
- Vehicle Parking
Any vehicle found illegally parked may be towed at owner's expense; no paging will be done.
These rules and regulations may be modified by the Great Lakes Regional Firebird Gathering and Cabela’s at any time and are subject to the sole discretion of GLRFG and Cabela’s.
